It is an incredibly common and frustrating scenario: you need to print an urgent document, but your computer insists your HP printer is “Offline”—even though it is sitting right next to you, powered on, and seemingly ready to go.
This error usually indicates a communication breakdown between Windows/macOS and the printer software. Work your way through these steps to force your printer back online.
Step 1: Perform a Power Cycle
Before tweaking internal software settings, clear out minor hardware or network glitches with a hard reset.
- While the printer is turned on, unplug the power cord from the back of the device.
- Unplug the power cable from the wall outlet.
- Shut down your computer completely.
- Wait 60 full seconds. Plug the printer back directly into a functional wall outlet, reconnect it to the device, and power it on. Turn your computer back on and check the status.
Step 2: Manually Uncheck “Use Printer Offline” (Windows)
Windows has a legacy setting that can accidentally keep a printer locked in an offline state even after connection issues are resolved.
- Press the Windows Key, type Control Panel, and select it.
- Click on Devices and Printers (or View devices and printers under Hardware and Sound).
- Find your HP printer icon. If it is grayed out or has a status error, right-click it and select See what’s printing.
- In the print queue window, click the Printer tab on the top menu bar.
- Look at the item titled Use Printer Offline. If there is a checkmark next to it, click it to uncheck it. Your printer should immediately attempt to reconnect.
Step 3: Restart the Windows Print Spooler Service
The Print Spooler is the background system service that manages all print jobs sent from your PC to the hardware. If this service hangs, your printer will report as offline.
- Press Windows Key + R to open the Run box.
- Type
services.mscand press Enter. - Scroll down the list of background services until you find Print Spooler.
- Right-click on Print Spooler and select Restart. (If it isn’t running, click Start). Close the window and attempt to print.
